This article helps guide you through importing a single entity into Consultation Manager

Accessing the Import Tool

Access the import tool from the Tools menu in your top bar.

The option available to you will depend on your level of access and what has been enabled in your specific CM.

Select Single Entity Import from the options

Entity Selection

The first step is to make the Entity selection for import.

Please note: any Custom entities will be listed after Documents (In the example below the custom entity is Complaints)

 

Select the Entity for import and click 'continue' at bottom right.

File Setup

Here you will upload your data in CSV format for importing

1. Select the relevant Project/s 

2. Create a template for your Data

Creating the import template here is a great way to make sure your data will fit within the constraints and an easy way to pass along to other team members

3. Upload your Data by drag and drop or browse to the location of your data

Click continue and move to the next stage.

Column Mapping

In this step, you will configure the mapping of your data columns to the corresponding fields within Consultation Manager.

Please choose the appropriate field for your data from the drop-down menu.

The name of the field in your CSV file does not have to correspond directly to the column name in Consultation Manager; it is the data contained within the column that will be imported.

Once a selection has been made, the status of Action Required will change to Mapped.

Once you have mapped a field, you can preview its appearance in the Consultation Manager by selecting the Data Preview button, which will display the first three lines of data.

If there are any fields you do not wish to import, please uncheck the corresponding box, and those fields will be designated as Ignored.

Please Note: All fields must be completed to proceed to the next step.

Click continue and move to the next stage.

Data Validation

The data import tool will automatically validate your data at this stage, identifying any issues that may prevent the successful completion of your import.

This symbol means there is no need for additional action to ensure a successful import; however, if necessary, you can manually enter data by double-clicking in the designated box.

 

Please Note: It is important to understand that classification restrictions are in place; only those classifications that are available for the Projects selected in the 'file setup' step will be presented as options.

This symbol means that some action needs to be taken for the import to proceed. If the issue is due to a classification issue, left click the classification and select from the drop-down of the available classifications, click apply.

To address the classification error, please click on the error, choose the appropriate classification from the available options in the drop-down menu, multiple if applicable, and then click 'Apply.'

 

 

 

Utilise the checkbox at the beginning of each row to deselect any rows you do not wish to import, or to select those you do wish to include.

 

 

You may choose to skip any rows and advance to the next step. After completing your import, you will need to address and re-import those rows once any necessary corrections have                                                                                         been made. 

 

Once all the columns have been actioned that required attention, the 'Continue' button will become active and you can proceed to the next step.

Summary & Confirmation

This step summarises all the previous steps and allows you to see what will be included in your import.

 

Mapping Details summarise which columns from your spreadsheet have been accurately aligned with the existing data fields in Consultation Manager.

Data Details provide a comprehensive overview of all the rows that will be generated as records within the Consultation Manager.

 

Click 'Run Import' to start the import process and the 'Import in Progress' screen is presented to acknowledge that Consultation Manager is running the import.

 

Once the import completes you will see a summary of the import.

 

 

Import History can be accessed by the currently logged-in User from the Importer home screen. This will direct you to the Import summary screen, where you can download the imported CSV file and review the details of the import, including the date and specifics of the data that was processed.

Please Note: Enterprise Admins can see all Imports performed on their Consultation Manager; Team Leaders will only see their imports.
