How to filter search results in a Report

This article will help you learn to filter your data when generating a Report.

Required System Role: Standard User

Required Team Role: Viewer

Report filters help refine the data you would like to pull into a report. 

If you don't enter any search parameters, all visible records will automatically be displayed in the report. 

The first dropdown is a list of the fields related to the particular Entity you're reporting on. For Stakeholders, examples of these would be First Name, Last Name, ID, Role, Organisation, Email, Address, etc. Zight 2025-10-3 at 1.42.41 pm

The next dropdown defines how this search will work: 

  • Equals - Finds records that match exactly what you type in that field.
  • Not Equals - Finds records that don't match exactly what you type in that field.
  • Contains - Finds records that include the text anywhere in that field.
  • Does Not Contain - Finds records that leave out the text in that field.
  • Starts With - Finds records that begin with the text in that field. 
  • Ends With - Finds records that finish with the text in that field. 
  • Is Blank - Finds records where no text is filled in that field. 
  • Is Not Blank - Finds records where any text is filled in that field.

To refine the results further, add another search filter, and select 'Refine Search'. Zight 2025-10-3 at 2.08.48 pm

With multiple filters, you can select the 'AND' / 'OR' to change what you're looking for. Zight 2025-9-16 at 10.40.20 am

You can also select the small 'x' next to a filter to remove it. Zight 2025-9-16 at 10.41.28 am

Multiselect Fields

Some fields have multiselect options, this allows you to tick existing Classifications. Zight 2025-10-3 at 1.53.30 pm

The second dropdown has some of the same options, but differ slightly in how they work: 

  • Contains - Finds records that have at least one of the tags you select
  • Contains All - Finds records that include every tag you select.
  • Does Not Contain - Finds records that don’t have the tags you select.
  • Is Blank - Finds records where there are no tags in that field. 
  • Is Not Blank - Finds records where there are any tags in that field.

With Related

You can also filter results by what they’re related to. First, choose the related entity, then use the filtering to narrow your search to show only records that are connected to it. Zight 2025-10-3 at 2.36.39 pm

You can only use one 'With Related' filter at a time. They stack in sequence (>>>) rather than working as and / or conditions.

 

Without Related

This works very similarly to the above, choose the related Entity, then use the filtering to narrow your search to show only records that aren't connected to it. Zight 2025-10-3 at 3.06.19 pm

 
Date Fields

For fields that are in date format, there's a few different filters as well. 

  • Is - Finds records you choose from a set of predefined timeframes (Past, Future, Yesterday, Today, Tomorrow, Last Week, This Week, Next Week, Last Month, This Month, Next Month, Last Quarter, This Quarter, Next Quarter, Last Year, This Year, Next Year, Last 7 Days, Last 14 Days, Last 30 Days, Last 60 Days, Last 90 Days, Last 180 Days or Last 365 Days).
  • Is Not Date - Finds records not on this specific date.
  • Is Date - Finds records on this specific date. 
  • Is Before - Finds records before this specific date.
  • Is After - Finds records after this specific date.
  • Is Between - Finds records between two dates (select the date you would like to start on first, then the end date second)
  • Is Blank - Finds records where the date is blank. 
  • Is Not Blank - Finds records where any date is recorded.

Numerical Fields

    For fields that are in numerical format, there's a few different filters as well. These all should be self-explanatory.

    Select Records

    If you want to run the report on only a few records, you can use the tick boxes to select what you would like to be included.

    If any rows are ticked, all unticked rows will not be included in your report.

     

    Sort By

    You can also 'Sort By' by selecting the column heading. Note that the order that the records appear will be the order they will show on the report. Zight 2025-8-4 at 9.02.43 am
